The purpose of these General Terms and Conditions of Sale (hereinafter “GTC”) is to define the rights and obligations of the independent conference interpreter and certified translator (hereinafter “the Service Provider”) and her business or individual clients (hereinafter “the Client”), in connection with the provision of interpretation and translation services, as described below.
These Terms and Conditions apply to any order placed with the Service Provider via the interpretedeconference.fr website, by email, telephone, or any other written means of communication. Any order implies the Customer’s unconditional acceptance of these Terms and Conditions.
1. Legal Information About the Service Provider

2. Purpose and Scope
These Terms and Conditions govern all interpretation and translation services provided by the Service Provider, including:
- Interprétation de conférence (simultanée, consécutive, chuchotée, de liaison) lors de réunions, conférences, séminaires, événements professionnels ou institutionnels ;
- Interprétation assermentée dans le cadre de procédures administratives, judiciaires ou notariales ;
- Official certified translation of documents (civil registry records, court decisions, contracts, diplomas, administrative documents, etc.).
Services are provided primarily in French, English, Spanish, and Romanian for clients located in France (notably Lille and Paris) and internationally (notably Brussels and other destinations as agreed).
3. Services Offered
3.1 Conference Interpretation
The Service Provider offers simultaneous, consecutive, whispered, or liaison interpretation services, depending on the event’s needs. The specific details (duration, working languages, number of interpreters, technical requirements for the booth, microphones, headsets, etc.) are outlined in the quote accepted by the Client.
When the scope and duration of the event warrant it, multiple interpreters may be required to meet professional standards and ensure the quality of service. This requirement will be specified in the quote.
3.2 Certified Interpretation
La Prestataire, en sa qualité d’interprète assermentée près la Cour d’Appel de Douai depuis 2018, intervient notamment pour :
- Audiences judiciaires ;
- Actes notariés ;
- Procédures administratives ou policières ;
- Other situations requiring the services of a certified interpreter.
The terms of service (location, date, estimated duration, source language, and target language) are specified in advance in the quote and order confirmation.
3.3 Official Certified Translation
The Service Provider offers official certified translations of documents written in French, English, Spanish, and Romanian, among other languages, for government agencies, courts, universities, notaries, and other organizations in France and abroad.
Each certified translation is signed, dated, and stamped by the Service Provider, in accordance with the requirements of the relevant jurisdiction and the authorities concerned. Originals or certified copies may be required depending on the nature of the document and the request of the receiving authority.
4. Quote and Order
4.1 Request for a Quote
Any request for services is first subject to a free, no-obligation quote, prepared based on the information provided by the Client, including:
- Type de prestation (interprétation de conférence, interprétation assermentée, traduction assermentée) ;
- Langues de travail ;
- Date(s), horaires et lieu de l’intervention ;
- Durée estimée, programme, nombre de participants et niveau technique du sujet (pour l’interprétation) ;
- Type, number of pages, and purpose of the documents (for translation), as well as the desired turnaround time.
The quote is sent to the Customer via email to the address they provided.
4.2 Acceptance of the Order
The order becomes firm and final after:
- Express written acceptance of the quote by the Customer (handwritten signature or explicitly stated electronic approval),
- And, if applicable, payment of the deposit specified in the estimate.
If the quote is not accepted in writing and/or the deposit is not paid within the specified time frame, the Service Provider reserves the right not to hold the date and to offer the same time slot to another client.
4.3 Order Changes
Any substantial changes requested by the Client (dates, times, duration, location, languages, volume of documents, etc.) after the quote has been accepted may result in a revision of the price and deadlines. A new quote or an amendment to the initial quote must then be approved by the Client.
5. Rates and Payment Terms
5.1 Pricing
Rates are determined based on a quote, depending in particular on:
- du type de prestation (interprétation ou traduction, assermentée ou non) ;
- de la ou des langues concernées ;
- de la durée de l’intervention (interprétation) ou du volume de texte et de sa complexité (traduction) ;
- du degré d’urgence de la demande ;
- des frais de déplacement, d’hébergement et de restauration le cas échéant ;
- any technical costs (equipment rental, booth, etc.) when such costs are borne by or advanced by the Service Provider.
Les prix sont indiqués en euros (EUR €) et s’entendent nets de taxe. La Prestataire bénéficie du régime de la franchise en base de TVA : TVA non applicable, article 293 B du Code général des impôts.
5.2 Down Payment and Billing
Un acompte de 50 % du montant total de la prestation est exigé à la commande, notamment pour les prestations d’interprétation nécessitant un blocage de dates et/ou des déplacements. Le solde est facturé à l’issue de la prestation ou selon les modalités précisées sur le devis.
L’acompte versé reste acquis à la Prestataire en cas d’annulation par le Client, quelle qu’en soit la date, sauf accord contraire écrit.
For translation services, unless otherwise agreed, the invoice is issued upon delivery of the translation and is payable within the time frame specified on the invoice.
5.3 Payment Terms
Le moyen de paiement accepté est le suivant :
- Uniquement par virement bancaire (coordonnées bancaires indiquées sur le devis et la facture).
The exact payment terms and any additional fees are specified on the estimate and/or invoice.
5.4 Late Payment
Any delay in payment may result, without prior notice, in the application of late payment penalties calculated based on the applicable statutory rate, as well as a lump-sum compensation for collection costs in accordance with applicable regulations (for business customers, a lump-sum compensation of €40 as provided for in Article L441-10 of the Commercial Code).
In the event of persistent non-payment, the Service Provider reserves the right to suspend or cancel any ongoing services and/or to refuse any new orders from the Client, without prejudice to any other remedies.
6. Turnaround Times and Delivery of Translations
The turnaround and delivery times for translations (whether certified or not) are provided for informational purposes only in the quote, based on the volume and complexity of the documents and the urgency of the request.
The Service Provider agrees to use all reasonable means to meet the stated deadlines. However, a reasonable delay shall not justify cancellation of the order or refusal to pay, unless otherwise agreed in writing by the parties.
Translations can be delivered electronically (as a scanned PDF file of the signed certified translation, if applicable) and/or by mail, depending on the needs and requirements of the recipient authority. The procedures for delivering signed originals (in-person pickup, tracked mail, etc.) are specified in the quote or at the time of the order.
Unless otherwise specified, the Customer is responsible for all postage and shipping costs for documents. The Service Provider shall not be held liable for any delays, losses, or damage attributable to the postal service or any external carrier.
7. Cancellation, Postponement, and Modification of Services
7.1 Cancellation or Postponement by the Customer (Interpretation)
Given the need to reserve time slots and, if necessary, to travel, the Client must notify us in writing (via email) as soon as possible of any cancellation or rescheduling of an interpretation service.
Sauf stipulation différente dans le devis ou le contrat spécifique, les frais suivants seront appliqués en cas d’annulation :
- Annulation à plus de 14 jours calendaires avant la date de l’événement : 20 % du montant total de la prestation, non remboursables (frais de blocage de date) ;
- Annulation entre 14 et 7 jours calendaires avant la date de l’événement : facturation de 50 % du montant total de la prestation ;
- Annulation entre 7 et 3 jours calendaires avant la date de l’événement : facturation de 80 % du montant total de la prestation ;
- Annulation à moins de 3 jours calendaires avant l’événement ou en cas d’absence du Client : facturation de 100 % du montant total de la prestation.
Expenses already incurred (transportation tickets, lodging, equipment rental, etc.) remain fully payable by the Customer and will be billed based on supporting documentation, even in the event of early cancellation.
7.2 Cancellation or Modification of a Translation
Pour les prestations de traduction, en cas d’annulation de la commande par le Client après acceptation du devis, les travaux déjà réalisés seront facturés au prorata du travail effectué, avec un minimum forfaitaire équivalent à une heure de travail dès lors que la Prestataire a commencé à traiter le document.
Any additions or substantial modifications to the documents provided (new sections, revised versions, major changes in terminology, etc.) will be subject to additional billing upon the Client’s written approval.
7.3 Cancellation or Postponement by the Service Provider
En cas d’impossibilité d’exécution de la prestation par la Prestataire, notamment pour cause de force majeure (voir article 10 ci-dessous) ou de motif légitime (maladie grave, accident, etc.), celle-ci en informera le Client dans les meilleurs délais et, si possible, proposera une solution de remplacement (collègue interprète/traducteur de compétence équivalente), sous réserve de l’accord du Client.
8. Obligations of the Parties
8.1 Obligations of the Service Provider
The Service Provider agrees to:
- Fournir les prestations avec soin, diligence et professionnalisme, conformément aux règles de l’art de la profession d’interprète et de traducteur assermenté ;
- Respecter strictement le secret professionnel et la confidentialité des informations et documents portés à sa connaissance dans le cadre de la prestation ;
- Notify the Client as soon as possible of any difficulties that may affect the proper performance of the service (delays, unforeseen circumstances, technical issues, etc.).
8.2 Customer Obligations
The Customer agrees to:
- Fournir, en temps utile, toutes les informations nécessaires à la bonne exécution de la prestation (programme détaillé, thématiques, supports de présentation, glossaires, documents de référence, etc.) ;
- Remettre à la Prestataire, au plus tard 5 jours ouvrés avant la prestation d’interprétation, les documents préparatoires dans leurs versions les plus à jour, afin de permettre une préparation adéquate ;
- Assurer, pour les prestations d’interprétation, des conditions techniques adéquates (matériel audio, cabine, visibilité, acoustique) et des conditions de travail conformes aux normes professionnelles (pauses, rotation des interprètes, etc.), le cas échéant en lien avec l’organisateur de l’événement ;
- Pay the amounts due by the agreed-upon deadlines.
9. Intellectual Property
With respect to translation services, the Service Provider grants the Client, effective upon full payment of the invoice, the rights to use, reproduce, and display the translation for the purposes specified in the order and within the limits of the rights held by the Client over the source text.
The Service Provider retains moral rights to its work, including the right to have its name and the quality of the translation acknowledged. Any substantial modification of the translation by a third party without consulting the Service Provider may relieve the Service Provider of all liability for the final result.
The Client represents that it holds the necessary rights to the source documents provided (copyrights, related rights, third-party rights, etc.) and indemnifies the Service Provider against any claims arising from the use of these documents in connection with the service.
10. Liability and Limitations
The Service Provider is bound by an obligation of means, not of results. It undertakes to use all reasonable efforts to provide a high-quality service, but cannot guarantee the complete absence of errors, particularly in highly technical contexts or under adverse working conditions (malfunctioning equipment, noise, lack of preparatory documents, etc.).
La Prestataire ne saurait être tenue responsable des conséquences d’une information incomplète, tardive ou erronée fournie par le Client (documents, contexte, glossaire, consignes, etc.).
The Service Provider shall not be held liable for any indirect damages, operating losses, commercial losses, or losses of revenue, profits, or reputation suffered by the Client.
In any event, the Service Provider’s potential liability, if established, would be strictly limited to the amount (excluding tax) actually paid by the Client for the service in question.
10.1 Force Majeure
The Service Provider shall not be held liable if the failure to perform or any delay in the performance of any of its obligations results from a force majeure event under French law, as defined by the case law of French courts (for example: natural disaster, general strike, pandemic, administrative decision, disruption of transportation, etc.).
Dans une telle hypothèse, les obligations des parties sont suspendues pendant la durée du cas de force majeure. Si la durée de l’événement de force majeure excède 15 jours, chacune des parties pourra résilier le contrat par écrit, sans indemnité de part et d’autre.
11. Governing Law and Dispute Resolution
11.1 Governing Law
These Terms and Conditions and the services provided hereunder are governed by French law.
11.2 Attempt to Reach an Amicable Resolution
In the event of a dispute regarding the interpretation, validity, or performance of these Terms and Conditions or a service, the parties agree to seek an amicable resolution before taking any legal action. The Customer is invited to contact the Service Provider by email at interprete@europe.com to submit a complaint.
11.3 Consumer Mediation (Consumer Clients)
When a Customer qualifies as a consumer under the Consumer Code, the Customer is informed of the option to seek the assistance of a consumer mediator, free of charge, to resolve any dispute with the Service Provider amicably, provided that the Customer has first submitted a written request to the Service Provider and received no response or an unsatisfactory response.

11.4 Competent Court
In the absence of an amicable resolution, any dispute regarding the validity, interpretation, or enforcement of these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts within the jurisdiction of the Lille Court of Appeals, even in the event of multiple defendants or third-party claims, subject to any public policy rules that may apply to consumers.
12. Personal Information
As part of the process of managing requests for quotes, providing services, and issuing invoices, the Service Provider is required to collect and process personal data concerning the Client (contact information, billing information, correspondence, etc.).
For more information on how this data is processed and on the rights of data subjects (right of access, rectification, objection, restriction, portability, etc.), the Customer is invited to review the Privacy Policy and Legal Notice on the interpretedeconference.fr website.
13. Final Provisions
If any provision of these Terms and Conditions were to be declared invalid or unenforceable by a court of competent jurisdiction, such invalidity would not affect the validity of the other provisions, which shall remain in full force and effect.
The Service Provider reserves the right to modify these Terms and Conditions at any time. The applicable Terms and Conditions are those in effect on the date the Client accepts the quote. A copy of the Terms and Conditions may be provided to the Client upon request.
